How many absences are considered excessive?

The District considers all absences beyond 10 days in a school year as excessive. The campus principal must notify Human Resources if this happens. Unapproved leave results in the teacher being docked.

Can scholars use cell phones or personal devices during the day?

No. Under House Bill 1481, scholars may not use a personal wireless device (cell phones, smartwatches, personal tablets) during the instructional day. Devices must be silenced and stored out of view. Exceptions apply for a device required by an IEP, Section 504 plan, or individual health plan, or as directed by a licensed provider. NEW 2026–2027

What are the staff arrival and departure times?

Staff sign in on entry and are at their places by 7:30 a.m. (7:15 for Educational Associates). The typical workday is 7:25 a.m. to 4:00 p.m. (7:15 to 3:45 for Educational Associates). Staff work until the day's work is complete, including meetings and events. Leaving before 4:00 p.m. requires principal approval and signing out.

What should I do if I suspect child abuse or neglect?

Report suspected abuse, neglect, or trafficking no later than 48 hours after you first suspect it. Call the 24-hour Child Abuse Hotline at 1-800-252-5400 or report online. You cannot delegate this duty. Failure to report is a crime. If unsure what counts, consult the counselor. UPDATED

What do I do if a scholar becomes ill or is injured?

Give the scholar a clinic pass with the time they leave. The school nurse is the only person who can send a scholar home for illness, and only the nurse gives permission to call parents for illness. For serious injury, notify the principal and nurse. In a life-threatening emergency with no time to consult, the responsible employee uses judgment on emergency assistance and still notifies the nurse and administrator.

How do I report bullying that I witness?

Teachers who witness or believe they witnessed bullying must report it to the principal immediately. The administration investigates all reported allegations. Parents of an alleged victim are notified within three business days. Retaliation against a scholar who reports is prohibited.

What approvals do I need for a field trip?

All off-campus field trips need principal approval in advance. Submit the field-trip request form at least one month in advance. No scholar leaves campus without a signed permission slip. Trips depart no earlier than 8:45 a.m. and return no later than 2:00 p.m. Adults who attend must complete the online volunteer application and pass the background check.

How many grades must I record each six weeks?

Collect at least two daily (formative) grades per week, totaling 12 per six-week period (35% weight), and three major (summative) grades per six-week period (65% weight).

What happens when a scholar receives a failing grade?

Within 10 days of a failing grade, the scholar receives intervention and a chance to redo or complete an alternate assignment. The new grade is the average of the original and the redo. Teachers have five days from entering the failing grade to submit the Assignment Redo Request Form. Parents must be notified of failing grades, and a conference is required.

Can I use AI tools for my work?

Staff may use district-approved generative AI tools for planning, communication, and administrative tasks. Do not enter confidential scholar data or personally identifiable information into any tool that is not district-approved. Review AI-generated content used with scholars for accuracy and age-appropriateness. When in doubt, contact the technology department. NEW 2026–2027

How do I get reimbursed for supplies I bought?

Get prior approval before buying materials with your own money. The district reimburses up to $100. A receipt is required, and sales tax is not reimbursed.

What do I do if I have a work-related accident or injury?

Report accidents within 24 hours. Inform Ms. Caldwell or a leadership team member. Report all work-related accidents or injuries to the supervisor first, then the Business Manager. Employees unable to work from a work-related injury are notified of their rights under the Texas Labor Code.

What is the campus failure-rate expectation?

The campus must not exceed a 10% failure rate. Teacher intervention matters; suggestions include documenting parent contact, small-group rotations, RTI monitoring, an administrative contract, and small-group counseling.

  1. Create a clearly labeled folder and turn it in to the office by the end of the third week of school.
  2. Include the daily instructional schedule and special pullout times (library, computer lab).
  3. Include schedules for special scholars (resource, speech), and modifications for special needs.
  4. Include lunch and duty schedules, discipline plan and forms, and a calendar of special activities.
  5. Include supplementary activities and pertinent scholar information such as food allergies.
  6. Update the plans periodically.

Filing emergency lesson plans

  1. Prepare three days of emergency lesson plans.
  2. File them with the office clerk by the Friday before Labor Day.
  3. Include the daily schedule, duty assignments, morning routine, bell schedule, building map, seating chart, dismissal plan, early-finisher activities, emergency exit procedures, and two reliable scholars plus a nearby staff contact.

This handbook provides information to help staff succeed. Not all district policies are included; those that are have been summarized. It is neither a contract nor a substitute for the official district policy manual, and it does not alter the at-will status of non-contract employees. Policies can change at any time, and those changes supersede any conflicting handbook provision. District policies are online at www.ardentisd.net. This campus handbook supplements, and does not replace, the Ardent ISD Employee Handbook.

Attendance and Work Hours

Every employee provides the best possible education for every scholar every day. Complete the Absence Request form and follow procedures. Personal (discretionary) leave may not be approved during critical events such as the first day of school, days before and during STAAR testing, the day before or after a holiday, the last day of school, and special school-wide events. For absences of more than three days, personally complete the necessary form and confer with the principal and senior administrative assistant. Absences beyond 10 days per year are excessive and reported to Human Resources. Unapproved leave is docked.

Arrival and departure (staff) page 4

Staff sign in on entry and are at their places by 7:30 a.m. (7:15 for Educational Associates). The typical workday is 7:25 a.m. to 4:00 p.m. (7:15 to 3:45 for Educational Associates). Staff work until the day's work is complete, including meetings and events. Leaving before 4:00 p.m. requires principal approval and signing out. Sign out in the front office when leaving during lunch or conference.

Attendance (scholar) page 4

The teacher takes attendance, monitored daily by the campus secretary. Take attendance at 8:45 a.m. If not taken by then, the attendance clerk notifies the teacher to take it immediately. A daily report documents the times attendance is or is not taken.

Faculty meetings and trainings page 12

Attendance at faculty meetings, team meetings, and planning is required. Sign-in sheets are distributed at every meeting. Failure to attend 90% of faculty meetings and trainings results in an unsatisfactory rating on the summative evaluation, with written notice before the summative conference.

Technology Use

Acceptable Use Policy — personal use of electronic media (Policy DH) page 3

Ardent ISD technology resources are used only for learning, teaching, and administrative purposes. Users sign the acceptable use policies yearly. Access is a privilege, not a right. Noncompliance may result in suspension of access or termination of privileges and other discipline. Knowingly bringing prohibited material into the school's electronic environment is subject to disciplinary action under district, state, and federal policy.

Artificial Intelligence (AI) acceptable use NEW page 3

Staff may use district-approved generative AI tools for planning, communication, and administrative tasks. Do not enter confidential scholar data or personally identifiable information into any tool that is not district-approved. Review AI-generated content used with scholars for accuracy and age-appropriateness. Scholar use follows the Scholar Code of Conduct. When unsure whether a tool is approved, contact the technology department first.

Scholar personal communication devices (Policy FNCE / H.B. 1481) NEW page 3

Under H.B. 1481, scholars may not use a personal wireless device (cell phones, smartwatches, personal tablets) during the instructional day. Devices are silenced and stored out of view in a designated location. Staff collect or direct storage at the start of the day and return them at dismissal. Exceptions apply for a device required by an IEP, Section 504 plan, or individual health plan, or as directed by a licensed provider. Report repeated violations to the office rather than confiscating devices for extended periods. Staff model the expectation by keeping personal devices stored during instruction.

Cell phones, emails, text messaging, phone calls (staff) page 7

Barring extenuating circumstances, staff should not be on cell phones or other electronic devices during the work day. Classroom phones stay at low volume. Check your mailbox twice a day. The Ardent ISD email system is for District use only. If electronic-media use interferes with job duties, the employee is subject to discipline, up to termination.

Technology procedures and expectations page 20

Classroom tablets and laptops are for instructional purposes, and may be used for administrative tasks. Do not load anything without proper licensure. Additional computers are in the library on the librarian's schedule. Teachers implement technology to enhance instruction and may request campus training.

Websites page 20

Class websites include the schedule, assignments and major projects, classroom rules, conference period, and other helpful information. Photos and postings follow District policy, and staff photos are dignified. Teachers update websites each week.

Student Safety and Health

Bullying prevention and intervention (Policy FFI) pages 5–6

Bullying is written or verbal expression, expression through electronic means, or physical conduct on or delivered to school property, at a school activity, or in a District vehicle, that harms or threatens a student or is severe, persistent, and pervasive enough to create an intimidating, threatening, or abusive environment. It includes cyberbullying, including off-campus conduct that disrupts the campus. Teachers who witness or believe they witnessed bullying must report to the principal immediately. The administration investigates all allegations. Parents of an alleged victim are notified within three business days; parents of the alleged aggressor within a reasonable time. Anonymous reporting is available and retaliation is prohibited.

Reporting child abuse of all types UPDATED page 7

Campus personnel must report suspected abuse, neglect, or trafficking no later than 48 hours after first suspicion. Call 1-800-252-5400 or report online. The duty cannot be delegated and cannot be left to the campus. Failure to report is a crime. Consult the counselor if unsure what constitutes abuse, neglect, or trafficking.

Nurse clinic procedures page 8

For illness, give a clinic pass with the time the scholar leaves. The nurse is the only person who can send a scholar home for illness, and only the nurse gives permission to call parents for illness. For sudden illness or serious injury, notify the principal and nurse. In a life-threatening emergency with no time to consult, the responsible employee uses judgment on emergency assistance and still notifies the nurse and administrator.

Health page 13

Non-serious injuries (cut, scrape, bloody nose) go to the clinic. For serious injury where movement may aggravate it, do not move the child; notify the office. An Accident Report Form is completed by the nurse when medical attention or parent pickup is needed. Scholars need a health slip except in an immediate emergency. Medicine requires medical forms on file; authorized medications are kept and given in the clinic per doctor's orders.

Medicine at school page 16

All medication is delivered to the nurse on arrival. Scholars may not carry any medication. A signed parent release must include the scholar's name, date, drug name, time, and dosage. Scholars with asthma or anaphylaxis may carry and use prescribed medication only with written authorization from a parent and provider on file, and after demonstrating proper use to the provider and nurse.

Crisis management plan (Policy CKC) page 9

Drills follow District policy; Ardent ISD uses the Standard Response Protocol. There is a minimum of one fire drill per month. The fire alarm sounds for fire drills; tornado and lockdown drills are announced over the intercom, though a lockdown may occur without warning. Anyone may institute a lockdown if a dangerous situation will ensue. On evacuation, leave immediately, close the door, follow the diagram, take the emergency bag and roll sheet, move to the safe zone, and wait for the all-clear.

Visitors report to the office and obtain a picture-ID sticker. All visitors, contractors, and volunteers are screened through the visitor-management system, including a sex-offender registry check, before a badge is issued. Exterior doors stay locked during the instructional day; staff must not prop open or bypass them and must challenge or report anyone without a visible badge. The Standard Response Protocol is posted in every classroom.

Every school has an accessible defibrillator on the wall by the cafeteria doors. The Medical Emergency Team and nurse are trained in its use.

Discipline and Behavior

Discipline is enforced consistently but flexibly. The plan follows PRIDE: persevere, relate, influence, determine, engage. Steps: hold a one-on-one restorative conference; if no change, restate the problem and assign a consequence; contact the parent; refer to the office. Parents should not first hear of difficulty from the office. Refer immediately to the office for physical altercations, threats of severe harm, dangerous objects, or possession of drugs, alcohol, tobacco, or weapons.

In-school suspension pages 10–11

ISS is social isolation used in severe or recurring cases. Teachers do not assign ISS. Scholars complete a social-emotional lesson. There is no academic penalty: the administrator places the scholar, grade-level material is provided, the homeroom teacher gathers assignments at the next break, and the teacher collects and grades the work afterward.

Classroom, playground, cafeteria, and lunch-supervision rules page 11

Post classroom rules and communicate them to parents; group punishment and humiliation are prohibited. Playground: monitor all areas, no throwing objects, no organized running on pavement, use equipment as designed, no games out of an adult's view. Cafeteria: walk to assigned tables, use Level 1 voices, raise hands to leave seats, keep areas clean. Lunch supervision includes an attention signal, dismissing one class at a time, and focused supervision.

Positive Behavior Interventions and Supports (PBIS) page 17

PBIS builds a positive school culture and shared responsibility. One scholar per homeroom is recognized each week during Dynamic Dillo Fridays. Expectation posters are placed in common areas.

Instruction, Grading, and Assessment

Grading requirements pages 12–13

Daily (formative) grades: at least two per week, 12 per six-week period, weighted 35%. Major (summative) grades: three per six-week period, weighted 65%. Unit assessments replace CBAs. Language Arts: grades 1–2 reading is 75% (writing/oral 25%, spelling 5%); grades 3–4 reading is 50% (writing/oral 50%, spelling 5%). Within 10 days of a failing grade, provide intervention and a redo or alternate assignment; the new grade is the average of the original and redo. Submit the Assignment Redo Request Form within five days of entering the failing grade. Notify parents and hold a conference for failing scholars. Make-up work: three days for each day of absence; corrections are done at school after re-teaching.

Lesson plans are due weekly on Fridays by 3:45 p.m. in the teacher folder for the following week. Plans include the lesson frame ("I will, we will"), gradual-release model, recognize-and-reinforce opportunities, and formal and informal assessment. Long-range plans cover a week to a year; daily plans move step by step from what scholars know. The planning process runs from diagnose, task-analyze, set the daily objective, check independent practice, plan practice, to distribute practice.

File three days of emergency lesson plans with the office clerk by the Friday before Labor Day, including the daily schedule, duty assignments, morning routine, bell schedule, building map, seating chart, dismissal plan, early-finisher activities, exit procedures, and two reliable scholars plus a nearby staff contact.

Periodic benchmarks in reading, writing, science, and math assess TEKS mastery and guide intervention. STAAR is given in the spring in reading, mathematics, and writing. Results are logged in the Scholar's Data Notebook.

Progress reports, report cards, promotion/retention page 17

Progress reports go to all parents at the end of the third week of each reporting period. A parent-teacher conference is required after the first report card and each six weeks for failing scholars or those in danger of retention. Contact parents within 24 hours and document it; include behavioral information. Report cards are issued every six weeks. The campus must not exceed a 10% failure rate. Promotion and retention follow district policy.

Response to Intervention (RTI) pages 18–19

RTI is a tiered, data-based framework using research-based instruction, progress monitoring, and data for educational decisions, including special-education eligibility. RTI meetings are every three weeks. Protocols are on the district webpage.

The GPC meets in April and May to decide each scholar's best interest, including summer school for promotion, retention, or placement. Members: administrator, counselor, intervention teacher, homeroom teacher, and parent.

Use "G"-rated materials; provide an alternate assignment if a parent does not grant permission. "PG-13," "R," and "X" materials are never used. Follow Board Policy EFE (Local) on copyright. Videos are cleared through the office and approved by the principal at least one week before showing; lesson plans reflect how enrichment materials teach the objectives and TEKS.

Communication

Announcements, pledges, and reflection (S.B. 11) NEW pages 3–4

Mornings begin with the Pledge of Allegiance, Texas Pledge, and a moment of reflection. Scholars and staff stand at attention; scholars who do not say the pledge sit or stand quietly. A designated, voluntary period of prayer or reading is offered for those with a signed consent form on file. Staff must not encourage, discourage, or comment on participation and supervise all scholars equally.

Correspondence distributed to staff or scholars is provided to a leadership team member for review and approval. Weekly or monthly newsletters are expected. Daily notes to parents do not need approval unless sensitive; grade-level notes require principal review with a copy for the file.

Travel, Purchasing, and Facilities

Field trips page 12

Off-campus trips need principal approval in advance and must be educational and curriculum-tied. Submit the request form at least one month ahead; the Director of Transportation determines bus availability. No scholar leaves without a signed permission slip. Trips depart no earlier than 8:45 a.m. and return no later than 2:00 p.m. Attending adults complete the online volunteer application and pass a background check; siblings may not ride the bus; no adult is left alone with uncleared scholars; no cursing, smoking, vaping, or alcohol.

Supplies and materials page 20

Submit supply requests to the campus secretary at least one week before needed. Get prior approval for personal purchases. The district reimburses up to $100; a receipt is required and sales tax is not reimbursed.

Collection of money, deposits, disbursement page 8

Money is not kept in the classroom; turn all money in to the office each day. Get principal permission before any money agreement with a vendor.

Building care and damage page 5

The building is everyone's responsibility. Guidelines include approved hallway displays, covering no more than 25% of hallway walls (fire code), sealed food containers, and no open flames. Report damage to Ms. Holloway, who completes a work order. Teachers keep classrooms properly ventilated and lighted and enter maintenance requests as work orders.

Each person is authorized to use the workroom copier; ask office staff for help. The secretary provides keys and proxy cards, which cannot be duplicated and must be returned at checkout; scholars may not use proxy cards, and lost keys or cards may be charged. Custodians handle cleaning; maintenance items go through a work order by Ms. Holloway.

School Life and Programs

Awards pages 4–5

Awards are based on achievement and attendance. Recognitions include Armadillo of the Year, Dynamic Dillo of the Week, Perfect and Outstanding Attendance, and Gold, Silver, and Bronze Honor Roll (grades 1–4). A Principal's Breakfast is held in May for A Honor Roll all year. Only listed awards are given at the ceremony; other classroom awards are the teacher's own. Scholars receive incentives and certificates each six weeks with the report card.

Cafeteria (Dillo Den) pages 6, 11

Breakfast is served 7:30–8:00 a.m. (PreK and K may differ). Follow the strict lunch schedule; give two weeks' notice to skip the cafeteria. Teachers escort scholars and do not leave them unattended. Scholars with excessive charges receive an alternate lunch. Eating in the classroom requires the teacher to stay, waiving the duty-free lunch.

Up to three classroom parties per year without prior approval. Foods of minimal nutritional value are not allowed in reimbursable-meal areas. Daily schedules help office staff locate teachers and scholars and let administrators schedule walkthroughs. Teams follow a consistent schedule, posted outside every classroom, with a copy to Ms. Holloway. Schedules are not changed without administration approval, since changes affect special-education teachers and specialists.
